Strip the who. Keep the what. The assistant needs the steps, the times, the counts and the problem. It doesn't need names, customers, formulas or passwords. Sort what you're about to paste into one of three buckets. If you can't tell, it's yellow until you've checked.
Green: paste freely
- Process steps written from watching the work
- Counts, times and rates with no names
- A blank template or a skill
- Anything already public
Yellow: strip first
- Shift logs: names become roles or random codes, not initials
- Exports and order lists: customers and brands become codes
- Photos: no faces, screens, badges, whiteboards or readable labels
- Quotes and price sheets
- Connectors, extensions, meeting recorders, share links: ask IT first
Red: don't paste
- Anything about a person: employees, patients, customers
- Passwords, keys, tokens
- Formulas, recipes, NDA material
- Security plans, camera and vault details
- Anything a contract keeps inside
Four questions before every paste
- Could this identify a person?
- Would I be comfortable if a competitor read it?
- Am I allowed? Policy, contracts, license conditions.
- Can I get the same help with the who taken out?
If any answer makes you pause, strip it or don't paste it. Keep the key that says who is "Trimmer A" in your own file, never in the chat.
